A pump owner in Tangail was frustrated: “Sir, my head is spinning. The book says ৳10,000 of fuel sold, but the cash box has ৳7,000.” Asked how he kept accounts, he said: “On paper. That is how I have always done it.” That is where the problem starts. Paper-based “kacha” accounts are a thief’s playground.
What a kacha system looks like
- Morning: opening stock written in the book
- During the day: sales entered by hand
- Evening: closing stock and cash count
- Every month: hishab-nikash reconciliation that never matches
The usual problems are pencil entries that can be erased, confusion between the “rough copy” and the “final copy”, missing transaction slips, calculation errors, and torn or damaged pages.
How paper gets exploited
Pencil magic. The original entry says 150 litres at ৳90, which is ৳13,500. After a “correction” it says 120 litres, which is ৳10,800. The 30 litres of fuel and ৳2,700 of cash go into someone’s pocket.
The lost page. “Sir, I cannot find that day’s page. It must have blown away.” That page held ৳25,000 of transactions. Without it you have no evidence, and a whole day’s profit is missing.
Rough copy versus final copy. “I wrote it in the rough copy and forgot to transfer it.” With many entries in the rough copy, which are real and which are fake?
Why kacha hishab survives
- “My father ran his business this way”
- “I don’t know computers”
- “My boys are honest”
- “A digital system will be expensive”
- “What is running is fine”
The reality is that you trust your staff, but you verify. Losses on paper add up every month.
Tax and compliance
Paper records are easy to change, so they make a weak audit trail. Tax figures worked out by estimate and manual VAT errors can be costly. Digital records give you an audit trail and automatic reports, which makes VAT and business reporting much easier.
Moving from paper to digital
- First 1 to 2 weeks: run the digital system next to the paper and enter both, so you can compare
- Weeks 3 to 4: digital becomes the main system, paper stays as a backup, and you look into any differences
- From month 2: drop the paper system and use the full digital workflow
With FuelMatix software every litre and every taka is tracked as it happens, with no manual entry, a reconciliation that takes minutes and accountability by staff member.
