Bashundhara Group: fuel control for 2,000 vehicles

Bashundhara runs around 2,000 vehicles and trucks moving goods between its factories, fueled at its own petrol pumps. Fueling was tracked on paper. FuelMatix now releases fuel only to the right vehicle and driver, for the allocated amount, and records exactly what was dispensed.

How one fill works

From number plate to recorded litre

  1. 1

    Allocation set

Fuel amount is approved for the vehicle in advance.

  2. 2

    Plate recognised

LPR camera reads the number plate as the vehicle arrives.

  3. 3

    Driver taps RFID

The driver identifies himself with his RFID card.

  4. 4

    Fuel released

Only the allocated amount can be dispensed.

  5. 5

    Actual litres recorded

If the tank fills early, only the real amount is saved and sent.

  6. 6

    Weight captured

Weigh scale records the loaded truck as it leaves with goods.

01 · The problem

  • Around 2,000 vehicles and trucks carry goods from one factory to another, every day.
  • Bashundhara has its own petrol pumps and fueling stations, but no control over when fuel was taken or how much was dispensed.
  • Every fueling was recorded on paper, so there was no reliable link between fuel, vehicle and driver.
  • Management had no live view of consumption and no way to check paper records against reality.

02 · How we designed it

  • Fuel allocation is set in advance for each vehicle, so every fill has an approved amount.
  • Two-step identification at the pump: the vehicle by its number plate, the driver by an RFID card.
  • Fuel is released only when both match an active allocation.
  • Weigh scales are linked into the same system to record each truck's loaded weight when it leaves with goods.

03 · How we solved it

  • Installed LPR (number plate recognition) cameras at the fueling lanes to recognise each vehicle automatically.
  • Issued RFID cards to drivers. Before fueling, the driver taps the card to identify himself.
  • Connected FuelMatix Nozzle Controllers so the dispenser opens only for the allocated amount.
  • If the tank fills before the allocation is used (for example 2 litres less), only the actual litres are recorded and sent to the system.
  • Integrated the weigh scales so loaded truck weight is captured for goods leaving the site.

04 · How it performs now

  • The paper logs are gone. Every fill is now recorded digitally against vehicle, driver, time and litres.
  • No fuel is dispensed without a recognised plate, a valid RFID card and an allocation.
  • Actual dispensed litres, not the allocation, are recorded and sent to management.
  • Truck load weights are available alongside fuel records for goods movement.
